Intelligent Document Management in M365

Global escalator and elevator manufacturer

During the offering and fulfillment phases, hundreds of documents are created until the equipment is installed at the client. The existing system of storing documents on a shared drive was not sufficient, and the challenge was to improve document management by implementing an intelligent document storage concept.

  • As part of the discovery phase, we conducted multiple interviews with key stakeholders, led a number of workshops with selected users and did desk research looking at existing material and concepts.
  • The document libraries are built on SharePoint Online and extended with metadata and content types.
  • The metadata comes directly from SAP and content types, so that users do not need to manage metadata themselves and we can ensure that the metadata is correct.
  • Multiple workflows in Power Automate were built so that new documents were automatically tagged and existing documents' metadata were updated in SharePoint
  • We also developed an automated archiving process integrating with the company's archiving system OnBase
  • A dashboard was created to provide insights into projects/documents that need attention
  • Microsoft Syntex will soon be used to automatically recognize document types.



Knowledge Management Strategy and Implementation

Just as the pandemic kicked in in March 2020, we started our joint journey. Since then we have helped Kekst CNC with designing their knowledge management program and leading various initiatives that are part of the program.


After an initial discovery phase we developed a comprehensive Knowledge Management strategy and roadmap

  • It includes among others
  • Setting up a knowledge repository on SharePoint Online with extended metadata
  • Migrating content from files shares and onboarding knowledge champions
  • Setting up practice and cross-practice communities and advise on community management
  • Set up an expert finder to identify relevant consultants for future engagements
  • Develop a project database pulling in data from the Finance System into SharePoint Online

  • Create PowerApps for starting and ending projects that integrates with Business Central
  • Create the group-wide Intranet

Change & Adoption for M365 Rollout and M365 Carve-Out

As part of the M365 Rollout we were engaged in the Change & Adoption workstream ensuring employees understand the different tools and learn how to best use them in their day-to-day work.


Some of the initiatives we led:

  • Deliver learning and training sessions to managers and employees
  • Develop adoption and change material for different target groups
  • Build and nurture a key user community
  • Draft and deliver key communication to end users


At a later stage we were also engaged in a tenant split and migration helping the project team to communicate effectively the implications to all employees.
